Move Smarter - Home Inventory for Moving and Downsizing

Label the box, name the room it goes to, QR so you can open the list without the knife. When BoxBuddy, BoxQR, or Sortly is enough — and when a photo inventory fits.

The problem.

Quick answer. Label the box, name the room it goes to, and put a QR on it that opens the list — so you are not guessing with a knife in the new hallway. Marker-only and abandoned Sheets fail the same way: you cannot search what you never recorded.

Moving is not a spreadsheet problem. It is a box problem. You pack a room into cardboard, write "kitchen" in marker, and three weeks later you cannot remember which carton has the coffee maker. Sticky notes fall off. The shared Google Sheet dies on moving day. You do not need a museum catalog of the house. You need each box to have a destination room and a way to see what is inside without opening it.

Box → room → QR vs BoxBuddy, BoxQR, and Sortly

Different tools solve different slices of the same mess. Honest limits:

Approach What it is good at Where it breaks
Marker + memory Fast on pack day You cannot search a Sharpie label from the new hallway
Spreadsheet / shared Sheet People who finish rows Nobody updates box 47 at 11 p.m.; photos do not live in cells
BoxBuddy-style box lists Box contents typed or listed per carton Still starts from typing, not from a photo of the open drawer
BoxQR / QR-on-box apps Scan a label → see the list for that carton Empty QR with no contents is just a sticker
Sortly-style inventory Folders, barcodes, business-ish tracking Heavy if all you needed was "which box is the bedding"
Photo → list (Vorby) Snap what is in the open box or room; attach a QR to the carton; search later Does not replace movers' liability paperwork; does not unpack for you; AI labels still need a human glance

You can mix them. QR on the box is useless without contents. A photo inventory without a destination room is only half a move plan.

Before the truck — a working order

  1. Pick a room. Photograph open drawers and shelves you are about to pack (or photograph into the box as you fill it).
  2. Name the destination room on the box: "Bedroom 2 — linens," not just "stuff."
  3. Put a QR (or clear ID) on the carton that opens the list for that box.
  4. When the truck unloads, scan before you cut tape. Move the box to the named room.
  5. Stop when you could answer "where is the coffee maker" without opening five cartons.

You still pack. An app does not fold shirts. It does not find a box you never labeled.

Common questions.

№ 01 Do I need an inventory app to move, or is a spreadsheet enough? +
A spreadsheet is enough if you will keep typing box numbers and contents until the truck leaves. Most people will not. If the job is "what is in this carton" and "which room does it go to," a photo list plus a QR on the box usually beats a Sheet that died on pack night.
№ 02 How is box → room → QR different from BoxBuddy or BoxQR? +
BoxBuddy-style tools lean on typed box lists. BoxQR-style tools lean on scan-to-open a label. Both can work. The gap is usually the contents: empty QRs and abandoned rows. A photo-first list fills the carton from what you see, then the QR is just the door into that list.
№ 03 When is Sortly (or a full inventory app) overkill for a move? +
If you only need box contents and destination rooms for one move, a heavy folder-and-barcode system may be more setup than unpacking. If you already live in Sortly for business stock, keep using it. Match the tool to the job.
№ 04 Does a moving inventory replace the mover's inventory or insurance? +
No. Carrier or mover paperwork is their process. Your box→room→QR list is so you can find the coffee maker and prove what you packed. Different jobs. Read your moving contract for liability; this page does not rewrite it.
